Create and maintain spreadsheets, including tracking Certificates of Insurance (COIs), ensuring documents are current, accessible, and aligned with internal compliance requirements
Process Accounts Payable (AP) invoices and related documentation by reviewing entries, organizing backup, and routing information appropriately for internal handling
Work extensively in Microsoft Excel to organize and update information, using spreadsheets to track, sort, and review critical property management data
Assist with administrative tasks using Yardi property management software, supporting data updates and basic system functions even if prior Yardi experience is not required
Contact vendors and tenants by phone to request information, follow up on missing or incomplete documentation, and answer basic property-related questions professionally and clearly
Perform accurate data entry and maintain company records by updating databases and files consistently and thoroughly during daily office operations
Accounts Payable experience is preferred, including familiarity with AP invoices and related financial documentation used in office environments
Excellent attention to detail and strong organizational skills are necessary to manage multiple records, documents, and tasks without sacrificing accuracy
Reliable, detail-oriented work habits and pride in producing accurate results are important for supporting both the office and property management team
Comfortable handling a variety of administrative responsibilities, communicating professionally with vendors and tenants, and assisting wherever needed to support team operations
